Shays Tools

Privacy policy

Who we are

Shays Tools is operated by Joanne Wells trading as Shays Media. Shays Tools is a digital products brand, not a separate legal entity. For data protection purposes, Joanne Wells trading as Shays Media is the controller of any personal information described here.

For privacy and data protection requests, email privacy@shaysmedia.co.uk. For questions about the tools, email tools@shaysmedia.co.uk.

The short version

  • The figures you type into a tool are not sent to us and are not stored.
  • There are no accounts and no sign-up.
  • We use analytics only if you allow it. Without your permission it does not run.
  • We do not use advertising or marketing cookies or pixels.
  • We receive your details only if you choose to email us.

Figures you enter into tools

The tools run in your web browser. Prices, costs, sales figures and anything else you enter are used on your device to work out the result. They are not transmitted to us, not saved on our servers and not kept in your browser after you leave or reload the page.

Information we do receive

If you email us

We receive your email address and whatever you include in your message. We use it to reply and to deal with what you have raised. We rely on our legitimate interest in responding to enquiries.

We keep personal information only for as long as reasonably necessary. Normally:

  • enquiries and general correspondence: up to 24 months after the last meaningful contact, unless they are part of a contractual, legal or accounting record;
  • contractual and accounting records: up to 6 years after the matter ends, where reasonably required for contractual, accounting, tax or legal purposes.

We may keep information for longer where a specific legal, dispute, fraud, security or regulatory reason applies.

Technical information from hosting

Like any website, the servers that deliver these pages process basic technical information for each request, such as IP address, browser type and the page requested. This is handled by our hosting provider, Vercel Inc., to deliver the site and keep it secure. We rely on our legitimate interest in running a secure, working website. We do not use this information to identify individual visitors.

Analytics, only if you agree

If you choose to allow analytics, we use Vercel Web Analytics, provided by Vercel Inc., to count page views so we can see which pages and tools are used and improve them. It runs only after you agree and stops when you withdraw. Vercel says it identifies visitors by a hash created from the incoming request, that the visitor session is discarded after 24 hours, and that the data is used for aggregated statistics. Each page view may record the time, the page address, the referrer, filtered query parameters, approximate location, device and browser details. We do not receive the figures you enter into a tool: they are not part of the page address.

Our lawful basis is your consent. You can change or withdraw it at any time with “Cookie settings” in the footer. Withdrawing does not affect anything counted before. Vercel’s documentation says it guarantees to keep this data available for analysis for a reporting window, which is at least 12 months on the plan we use, and that it may keep it for longer. It does not state a maximum retention period, so we cannot give one here. More detail is in the cookie policy.

What we do not do

  • We do not sell personal information.
  • We do not build profiles of visitors or track you across other websites.
  • We do not use advertising or marketing technology at present.
  • We do not send marketing emails. There is no mailing list at present.

Who we share information with

We use two service providers. They process information on our behalf, and we do not share it with anyone else unless the law requires us to.

  • Vercel hosts this website and, if you allow analytics, provides Vercel Web Analytics.
  • Zoho Mail provides our email, including enquiries and correspondence.

Post sent to our business correspondence address is received by our virtual-office provider, who holds it until we collect it.

International processing

These providers may process information outside the UK. Vercel is based in the United States. It is certified under the UK Extension to the EU-U.S. Data Privacy Framework, which UK law recognises for transfers of personal information to certified organisations.

Our email is hosted by Zoho in its European Union data centre, which UK law recognises as providing adequate protection. Zoho states that its support staff in other countries, including India, may occasionally need access to provide technical support, under contractual safeguards. Contact privacy@shaysmedia.co.uk for more information about these transfers.

Links to other websites

Some pages link to other websites, including Shays Media. Those sites have their own privacy policies, and this policy does not cover them.

Your rights

Under UK data protection law you have rights including to ask for a copy of your personal information, to have it corrected or deleted, and to object to or restrict how it is used. To use any of these rights, email privacy@shaysmedia.co.uk.

If you have a complaint

If your concern is about how we have handled your personal information, email privacy@shaysmedia.co.uk. We will acknowledge your complaint within 30 days, look into it and tell you the outcome without undue delay.

You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk. We would appreciate the chance to deal with your concern first.

Changes to this policy

If the site starts doing something new with personal information, such as offering a newsletter or adding advertising or conversion measurement, this policy and the cookie policy will be updated before that happens, and we will ask for your consent where the law requires it.
